How to Capture Quotes from Surveys

Highlight and save notable quotes shared by your survey respondents

Qualitative responses in surveys usually contain powerful statements that should be captured and highlighted in your data presentation. You can save quotes so you can easily find and integrate into reports, presentations, or social media from qualitative responses by following the steps below.

1. Go to the 'Responses' page of the survey.

2. Select the survey response from which you want to capture a quote. In our example, which is a ‘Girls' Access to Education Evaluation Survey’, we will select Submission ID 49568’ as the response from which we will extract a key quote.

3. Once the survey response is opened, toggle on ‘Edit Survey Answers’ to allow you to save quotes on the survey (as well as tag open-ended text responses).

4. Scroll down to the specific response that you want to save quotes from. Click the ‘Add Quotes button that appears at the lower right corner of the participant’s response.

5. A box below pops up after pressing the Add Quotes button. To enable saving either the whole or part of the response click Add Quote teal button at the lower right portion of the box.

Quoting the whole statement

After clicking Add Quote,' a box appears that displays the whole response of the survey participant. To quote the whole response, simply click the Save Quote button.

A ’Quotes’box then appears which shows the statement you quoted. You will also see a message at the lower right of the screen ‘Quote Created.’ Click Close’.

Quoting a part of the statement

You may want to quote only a part of a survey answer. To do this, repeat steps 1-4 above (go to the survey->edit response->go to survey response-> add quotes). A box prompts that show the whole response of the survey participant. Highlight the part of the text you do not want to include in the quote and hit the ’backspace’ button on your keyboard. Alternatively, you can highlight the parts of the text that you want to save as a quote, and press the enter key, whichever you prefer.

In our example below, I deleted the text (highlighted in blue) by clicking backspace on my keyboard and pressed the Save Quote’ button. This left the statement I want to capture “I became the first in my family to graduate high school, and it felt like I’d climbed Everest.”

The excerpt captured from the statement is displayed in the ‘Quotes’ box, as seen below. You can also see the ‘Quote Created’ message at the lower right of the screen. Click ‘Close’.

Editing a quote

To edit a quote, open the survey containing the quote you want to edit, toggle on edit survey answers, and then go to the survey response you previously quoted.

In our example, I went back to the survey response ‘Submission ID 49568’ and scrolled down to the text response I previously quoted. I clicked Add Quotes’.

This prompted the 'Quotes' box to display the statement I quoted previously. Click the ‘pencil’ icon if you want to edit a quote.

A box pops up that allows you to edit the quote. In our example, I edited the quote by adding a name. Once the edit is applied, click Save Quote.’

The ‘Quotes’ box reappears containing the edits you made on the quote.

Deleting a quote

If you want to delete a quote, repeat steps 1-4 above and then click Add Quotes’ and then click the trash bin icon from the ‘Quotes’ box.

After clicking delete, your quote disappears in the Quotes’ box which signifies that the quote has been successfully deleted. A message, ‘Quote deleted’ is also displayed at the bottom right corner of the interface.

You can see all the statements you have quoted from the ‘Summary’ page.
